About the Estate Planning Service Specialist Role

The Estate Planning Service Specialist plays a key role within Mercer Advisors’ Estate Planning team, working closely with estate planning strategists to guide clients through every stage of the estate planning process. This role requires precision, organization, and a proactive mindset, as it involves managing sensitive legal matters and high-value client relationships. From drafting correspondence to coordinating with wealth management teams and clients, the Estate Planning Service Specialist ensures that each client’s estate planning needs are met efficiently. Success in this position requires strong communication skills, exceptional attention to detail, and the ability to manage time-sensitive projects in a fast-paced, collaborative legal environment.

Core Responsibilities

As an Estate Planning Service Specialist, you will handle a variety of essential tasks that ensure smooth client experiences and effective team support. Responsibilities include drafting correspondence for clients and wealth management teams, maintaining best practices for communication, managing calendars for estate planning strategists, scheduling meetings, and serving as the primary client contact throughout the process. You will also maintain and organize client files, track estate planning reviews, and liaise with specialists to ensure all documents are up to date. The role calls for a balance of administrative excellence and client care, ensuring every interaction is handled with professionalism and confidentiality.

Skills and Qualifications Needed

This position requires at least a high school diploma or equivalent, with prior experience in a legal setting preferred. Candidates should possess a strong work ethic, the ability to multitask, and a self-motivated attitude to handle multiple deadlines effectively. Proficiency in Microsoft Word, Excel, Outlook, and Adobe Acrobat is essential. A “can-do” approach, coupled with outstanding communication and organizational skills, will help you excel in this role. Confidentiality is critical, as you will be working with sensitive client information. The ideal candidate thrives in a collaborative environment, enjoys problem-solving, and consistently delivers high-quality results.

Work Schedule and Environment

The role follows standard business hours, Monday through Friday, from 8:00 AM to 5:00 PM. However, there may be occasions that require earlier starts or later finishes to meet urgent deadlines. This position can be performed either from a professional office setting or a dedicated, distraction-free home office. All necessary technology will be provided by Mercer Advisors to meet position requirements. The role involves regular periods of sitting and standing but does not require heavy lifting beyond 10 pounds. As a non-exempt position, accurate daily timekeeping is mandatory, including recording start and end times and a 30-minute unpaid lunch.
